SAP Business One has an ‘Inactive Item Report’ report that shows you the items that you have not traded in since a specified date.
Holding stock that you no longer trade in is not just using up valuable storage space, but also makes locating and managing stock items less efficient.
Finding out what these items are is vital to ensure you keep the most regularly traded items quickest to hand and dispose of items that may have become obsolete. An effective ERP system should provide you with this information in an instant to help your business run more efficiently.
This is what the Inactive Item Report in SAP Business One does for you.
How to run the Inactive Items Report in SAP Business One
From the Main Menu go to Inventory/Stock > Inventory/Stock Reports > Inactive Items.

Here you can select a date in the past to list all the items that have had no transactions since that date.
Filtering the Report
You can run the report with just the date as shown above to see all items, or you can filter the results to show:
- a sequential range of items
- an individual item
- items in an item group
- or by a property set against items in the properties tab (find out more about configuring item properties from your Teamsoft SAP Business One consultant)
The report will show all items that do not appear since the date you specified in any of the selected sales documents i.e. Sales Quotations, Deliveries, A/R Down Payments, Orders and A/R Invoices as we can see here:

You can exclude a document type by deselecting its checkbox and then click the Refresh button. This for example could be useful to exclude items quoted for but not ordered.
You can also double-click on the ‘In Stock’ column to focus on the items that are in stock and list their quantity.
Once you verify their status you can then make a decision on whether to reduce or move this stock to another location to make room for newer or more active stock.
